How I Utilized a Multi-AI Team to Build
a Digital Chief of Staff

Last week, my cognitive load reached its limit. I realized that I was wearing three distinct corporate hats simultaneously, a reality that left my focus entirely depleted. On any given morning, I must manage three separate entities:

Between drafting client proposals, auditing unorganized CRM lead sheets, and defending my personal boundaries—such as daily Yoga or walking my dog, Dodger—my calendar resembled a chaotic game of Tetris.
I did not need more hours in the day; I required an executive Chief of Staff.
Rather than executing a traditional hire, I engineered an automated, multi-AI framework. I positioned Gemini as my high-level Executive Consultant and Claude as my Technical Engineer. Through this collaboration, we built a hands-free operational system within 48 hours.
Phase 1: The Strategic Blueprint (Gemini)
Instead of requesting a generic calendar template, I provided Gemini with a comprehensive operational brain dump. I uploaded my raw calendar layers, a massive HubSpot lead sheet, and my non-negotiable personal boundaries.
Gemini acted as a senior operations partner. The model identified hidden scheduling conflicts that I had completely overlooked, including a vet appointment that directly overlapped a high-priority client outreach block. It neatly segmented my three business entities into distinct, thematic focus zones.
Strategy without execution, however, remains a mere hallucination. Once Gemini finalized the architecture, it provided the logical framework necessary for the next phase: technical implementation via Claude.
Phase 2: The Infrastructure Build (Claude)
I transferred Gemini’s strategic plan into Claude Desktop to begin the technical build.
While I initially intended to use Google Tasks, we immediately encountered severe platform restrictions. Claude recognized these limitations and pivoted, ultimately constructing a pristine, color-coded, multi-project workspace inside Todoist. This dashboard now partitions my tasks cleanly across my three distinct business entities.
This centralized dashboard resolved my primary scheduling issues, yet I soon noticed a final, critical workflow leak.
Phase 3: Patching the Operational Leak (The "Email Commitment Tracker")
The operational leak occurred entirely within my sent email folder. I routinely wrote messages promising future action, such as, "I will follow up with you next Thursday." I would then close the tab, neglect to log the interaction in HubSpot, and fail to create a corresponding task in Todoist. The commitment effectively vanished until it escalated into an emergency.
To resolve this, I returned to Gemini to architect a custom data bridge. I handed that logic to Claude, who utilized Make.com to build an automated workflow.
The resulting automation operates seamlessly:
I draft and send a standard email to a client.
The backend system automatically scans the text for time commitments.
The AI logs the interaction on the contact's timeline in HubSpot.
The system instantly generates a scheduled, dated task inside Todoist.
This process requires zero human intervention, manual forwarding, or blind carbon copies.
(Note: We initially triggered a severe retry-error loop during the Make.com configuration that nearly exhausted my monthly data allowance in a single afternoon. We quickly identified the issue, optimized the token context, and finalized the deployment).
The Operational ROI
This build required neither an external development team nor weeks of custom coding. It required only a targeted, multi-LLM framework that leveraged Gemini’s strategic organization alongside Claude’s technical execution.
This collaboration yielded immediate dividends:

Protected Boundaries: My personal health, weekend recovery, and family commitments remain mathematically locked into my weekly schedule.
